Featured Unique Wedding Location- Florida Aquarium


If your looking for something “different and unique,” There is The Florida Aquarium! To begin, the Aquarium closes at 5:00 p.m. and can hold a ceremony or reception as early as 6:00 p.m. The events are based on a four hour block of time with the option to purchase additional time. They can hold events to end as late as midnight. They can conduct a ceremony in conjunction with a reception or just a reception alone. They do not hold ceremonies only.They do have separate dressing rooms for the bridal party, one for the bride and bridesmaids and another for the groom and groomsmen. They also conduct a full hour of rehearsal, typically the day before the event, from 5:00 p.m. to 6:00 p.m. with the assistance of their Events Coordinator.They have a beautiful ceremony area in front of our 500,000 gallon Coral Reef tank which can accommodate up to 150 guests. For the reception, they have the indoors which includes the entire inside of The Aquarium including the galleries and they also have an outdoor tropical Caribbean themed event pavilion. Inside, the cocktail hour typically takes place in the upper lobby with the guests strolling through the Wetlands and Bays and Beaches Exhibits while enjoying cocktails. The dinner then typically is located in the lower lobby where you can have the dinner and dancing portion. The Aquarium can seat 150 guests with a complete view of the dance floor or up to 300 seated both in the upper and lower lobby at banquet rounds of ten. For the outdoors, they have a large thatched roof pavilion with teakwood furniture for guests to seat, and a hand painted mahogany beach style bar. This area is ideal for a beached themed wedding but it can also be dressed up to make it a more formal area for brides that just really are set on having an outdoor reception. In the event pavilion, they can seat 150 fully seated, but have had over 250 for a wedding set up with partial seating and cocktail rounds before also.

They do have in house catering which is a must for all events to order food and beverage. Otherwise, brides may bring in any vendor they wish, including their wedding cake.

Below is some other information that is important when booking the Aquarium to consider:

Event Parking
Event parking is available in The Florida Aquarium’s parking lot for a fee per car. This fee may be paid individually as guests enter the tollbooth or can be billed directly to the master account on a per car basis.

Valet parking is available for events at The Florida Aquarium. Please ask your sales representative or events coordinator for a quote. The event parking fee per car does not apply with valet parking.

Bus parking is available at no additional charge for evening events.

Audio Visual Rental
The Florida Aquarium has extensive audiovisual equipment available for rental during your event. A list of equipment and rental fees are available upon request.

Below are some options you can choose at additional fees to be added to your reception or event to create a wow factor or keep your guests involved.

Animal Encounter Programs (20 minutes)
Select one or several animals to entertain the guests at your next event. Our Aquarium educator will allow you to get an up close look at our amazing animals while strolling through the Aquarium’s exhibits. An events coordinator will be able to give you more information on these programs.

Coral Reef Dive Interpretive Program
An interactive show in the Coral Reef Gallery, featuring a diver who speaks with the audience from the 500,000-gallon exhibit. This special program is offered for evening events only.

SHARKS! Dive Interpretive Program (20 minutes)
An interactive show in the Shark Bay, featuring a diver who speaks with the audience from INSIDE the shark exhibit. Is it Fear or Fascination?? This special program is offered for evening events only.

Dive with Sharks
Put your boss in the Shark tank at your next event! This new experience allows certified divers the opportunity to get up close and personal with one of the ocean’s most misunderstood predators. The 90 minute, interactive program includes a T-shirt, a photograph of the diver preparing to enter the water and a 30-minute dive in Shark Bay.

Sea Hunt Touch Tank (2 hours)
This interactive program will not only allow your guests to understand more about sharks and rays, but have a rare opportunity to touch them as well. This special program is offered for evening events only.

NoBoneZone Touch Tank (2 hours)
This interactive program will allow your guests to touch Sea Urchins, Crustaceans, Urchins, and Mollusks from the Pacific Ocean on the aquarium’s second floor lobby. This special program is offered for evening events only.

Behind The Scenes Tour (groups of 20, max. 100 people total)
This 20-minute tour explores the backstage areas of the aquarium. A guide explains where our water comes from, why we quarantine animals, and other topics.

EVENT GUIDELINES( These are important to know when choosing this facility)

The Florida Aquarium offers several options for special events. A Group Sales Representative will assist you in choosing the best scenario for your group.

Your admission fee includes: admission to all aquarium galleries, use of the facility, all event coordination, custodial, and security. An aquarium event host will greet your group and take an accurate count at the entrance. A final guarantee of estimated guests is due 72 hours prior to your event. The aquarium will base its rate according to the final guarantee number, or the actual number in attendance, whichever is greater.

Aquarium Staff
We provide an event coordinator, banquet manager and security staff at all events. Our catering department will coordinate all of your food and beverage needs. Our events coordinator will assist you with details regarding the event space, logistics, guest entry, music and decorations.

Exhibits
Aquarium exhibits are subject to change without notice. An event coordinator will apprise you of any changes in the exhibits prior to your event. The wetlands gallery closes at 8:30 for all events.

Parking
Event parking is available in our parking lot for an additional cost. Valet parking is also available for your event; ask your sales representative or events coordinator for a quote.

Food and Beverage
The Florida Aquarium requires that all food and beverage for special events be purchased from our catering department. We are not able to allow groups or individuals to bring food and beverage into the aquarium.

Food and beverage prices include set-up of standard tables, china and linens. Prices are subject to change. We guarantee pricing six months prior to your event.

Menu selection should take place two months prior to your event date. To ensure the best quality, we ask that you choose one menu option for your entire group. However, substitutions due to dietary restrictions can be arranged.

Placement of food and beverage stations in the aquarium is based on lighting availability and fire code requirements. Our catering department will develop a floor plan that fits your needs.

A final guarantee is due by 12 noon, 72 hours prior to the event. We automatically prepare food for 5% over your final guarantee. You will be charged for the food and beverage according to the final guarantee number, or the actual number in attendance, whichever is greater.

Decoration
Because of the sensitivity of our exhibits and the environment, no confetti, live animals, dried marine life, glitter, rice, birdseed, adhesive tape, monofilament or Mylar ribbon are allowed in the aquarium.

We require that nothing be posted, nailed, screwed, or otherwise attached to the walls, floors, exhibit graphics, or other parts of the building, furniture, or surrounding areas.

Promotional signs and banners can be displayed in limited areas of the aquarium. An event coordinator will assist you in choosing the best location for these displays.

All decoration, promotional materials, supplies, rental equipment, etc. must be removed immediately following your event. The aquarium is not responsible for any materials or equipment left behind.

Audio Visual/Entertainment
An events coordinator can arrange for all audio visual needs in the aquarium. There is a charge for the use of aquarium audio visual equipment, based on your needs.

All band and entertainment personnel must meet with an events coordinator to review their electrical, lighting and other requirements at least two weeks prior to the event.

Outside Vendors
All outside vendors must meet with an events coordinator no later than two weeks prior to your event date to coordinate delivery times, loading areas, set-up locations and pick-up schedule. The aquarium ¬¬cannot provide staff or carts to move equipment.

Security
Aquarium security will be onsite during your event. In case of emergency, please call (813) 273-4077 to access your group the night of your event. The Florida Aquarium does not assume responsibility for the damage or loss of any merchandise or articles brought into the aquarium.

Deposits and Payments
The Florida Aquarium requires an initial deposit based on the number of guests in your group. The balance of all charges is due with the final guarantee 72 hours prior to the event. We accept cash, checks, Visa, MasterCard, Discover, and American Express as forms of payment.

Should a cancellation occur six months prior to your reserved date, 50% of your deposit will be refunded. There is no refund for events canceled within six months of the reserved date.

Wedding Ceremonies
Due to limited capacity in the facility, ceremonies are available only in conjunction with receptions at The Florida Aquarium. Due to high demand for holiday functions, ceremonies are not available in the month of December.

The following Audio Visual equipment is included in the following rooms at no additional fee, however, you must still order this equipment through your Events Coordinator to ensure availability.

Indian Rocks Beach Wedding -November 22nd, 2008

Special Moments was hired to assist Diane and Frank with their Beach wedding on November 22nd, 2008. The wedding was moved to the Holiday Inn Harbourside in Indian Rocks beach on Friday November 21st , when Diane and Frank realized it was going to be quite windy and chilly for their beach wedding and they were concerned for their guests comfort. Elizabeth was a great help in offering space on the grass by the pool for Diane and Frank to have their wedding waterside. The reception was being held in the Hemingway Room at the resort also. The ceremony was performed by David Bishop of Loving Unity with music, decor, personalized water bottles, sand ceremony supplies  and the arch supplied by Special Moments. The programs were designed by one of Diane’s Friends and Diane’s daughters read a poem during the ceremony to add a personalized touch. We have included several pictures for you below of the ceremony decor that Diane and Frank chose for their intimate waterside ceremony for close family and friends.Thank you Diane and Frank for asking us to assist with your Special Day!

Unique Featured Reception Location- Tampa Bay Automobile Museum

The Tampa Bay Automobile Museum is a unique option for your event plans. They can accommodate your reception, catered banquet, annual event or meeting. Enjoy an extraordinary event experience with a European flair and a 1920’s / 1930’s ambience. Many visitors find the museum collection to be fascinating, including those who came with little interest in automobiles but discover a provocative blend of art, history and science in their galleries.

The  location is central to the Tampa Bay area and is an easy drive from downtown Tampa, downtown St. Petersburg, Clearwater and the gulf beaches, just off of I-275 in Pinellas County. The facility is wheelchair and scooter accessible with parking close to the front door.

Seated Dinner – 150

Standing and Seated Cocktail Reception – 250

Evening Rental Overview

The Museum is available for evening rentals every evening except Tuesdays, Christmas Eve and Christmas Night.  The rental is for 4 hours with the earliest starting time at 6:00 p.m.  If the lessee needs to extend the event past 4 hours, they may do so but will be charged an additional rate.  Advance notice is required.

 

Daytime Rental Overview:

The Museum is available for daytime rentals everyday except Tuesdays, Christmas Eve Day and Christmas Day.   The daytime rental is for 4 hours with the earliest starting time at 10:00 am.  If the lessee needs to extend the event past 4 hours, they may do so but will be charged an additional rate.  Advance notice is required.

 

Included In The Rental:

·                     Use of the Museum gallery’s 12,000 square feet;

·                     Access to all exhibits and automobiles on display;

·                     Tour and explanation of the collection;

·                     Museum Gift Shop will be open for guests wishing to purchase items.

 

Catering:

Caterer’s food preparation time is 2 hours prior to the start of the event.  Clients must make their own arrangements with the caterer for additional items such as dance floor, entertainment, linens, flowers, photography or decorations. 

 

Alcoholic Beverages

The Museum has no objection to a licensed bartender or qualified caterer serving alcoholic beverages to guests of legal age in a lawful manner.  No person or entity shall sell alcoholic beverages on the Museum premises.  The Museum does not have a permit or license to serve or sell alcohol.

 

Parking: 

The Museum has ample parking and has 4 handicapped parking spaces in front.  The parking lot is properly lit for evening functions and guest safety. 

 

Security:   

The Museum will provide personnel for the safety of the guests as well as for the safety of the Museum’s automobiles and property.  No smoking is permitted in the Museum.  There is an outdoor terrace for smoking guests. 

Mission Statement:

The main mission of the Museum is to educate and to preserve the engineering history of the cars in its collection. They are honored to be part of your special event, but they ask that you and your guests remember that we are first and foremost, a museum. They especially want your younger guests to enjoy the Museum’s collection, but respectfully request that any young children attending be under adult supervision at all times.  Feel free to take as many photographs of the Museum’s collection and wander about freely, but please, do not open any doors or engine compartments

Rolls of Printed Velon™ are 125 yards long and 54 inches wide.

How heavy is a roll of Printed Velon™?
Each roll weighs approximately 50 lbs.

What colors does unPrinted Velon™ come in?
Velon comes in 33 colors. Create custom velon colors for orders of 10,000 yards or more. Once we receive your color approval custom velon colors take approximately 6 weeks to produce.

What is the difference between Stock Designs, Library Designs, and Custom Designs?
Stock Designs are pre-printed and are ready to ship from our warehouse directly to you.
Library Designs are in the Velon archive catalog with screens available for printing upon request.
Custom designs require new screens be created from new artwork for printing.

Why Printed Velon™ instead of traditional fabric?
Well, most high end fabrics are usually very expensive to start with. A high end pattern could cost as much as $10 to $15 dollars per yard, or more. Then you would have to spend another $5 to $7 a yard to have it flame proofed rising the per yard cost to almost $20.00. Yes, you can buy fabric that is already flame proofed, but you are limited to chiffons and very basic colors. With Printed Velon™ you can have the high end designer fabric look for 1/5 the cost of actual fabric.

Is Printed Velon™ flame resistant?
Yes it is. Velon meets strict fire safety codes and has a flame retardant rating of NFPA 702 Class1.

Is it waterproof?
Yes, velon is waterproof. The print will not bleed in damp weather or if it gets wet.

Can I wash it?
Yes, you can wash Printed Velon™ with soap and warm water.

Is it re-useable?
Velon is so affordable you can easily re-print, but you can also store and re-use velon.

What color inks can I select from to print my design?
The ink color can be any pantone color. We are able to match any color for the printing. That is what makes this process so wonderful. Find a design you like, tell us the color you want – it is that simple.

Can I get unPrinted Velon™?
Yes, we also sell un-Printed Velon™. We request unprinted orders be a minimum of one roll for $166.25

What can I do with it?
You can do just about anything with Printed Velon™, use it to line the inside of tents, wrap tent poles, cover trashcans, even cover a fence or other unsightly venue features. Use it as draping in trade shows. It’s great to cover bars, buffets and captain stations etc.

How do I install Velon?
Install velon the exact same way you would install fabric – staple, sew, pin, tape, or tie.

Featured Wedding Location -Sand Pearl Resort

Located on the unspoiled barrier island of Clearwater Beach, The Sand Pearl Resort is ideally suited for both indoor and outdoor ceremonies and dinner/dance for up to 350+ guests and even larger reception style events. From your picture perfect casual beach brunch wedding, or a lavish sunset wedding ceremony,glamorous black tie reception to an entire weekend of memorable wedding activities, to include : Rehearsal dinners, bridal parties’ day at the spa, golf outings and deep sea fishing excursions.

The gulf lawn spans just over 6500 square feet, and is perfect for your beach garden ceremony for up to 350+ guests or  a recpetion style event for up to 700 guests.

The Hunter ballroom has a 15 foot ceiling and can accommodate up to 350 guests for a sit-down dinner reception and can hold up to 700 guests for a cocktail like reception.

The Pool Lawn, is centered between a lagoon style pool and a fabulous waterfall feature. This location is great for wedding ceremonies or receptions for up to 225 guests. Nothing like a reception under the stars.

The Harbor ballroom can accommodate a dinner reception for up to 150 guests or a cocktail like reception for up to 300 guests.

Davis Island Garden Club -Tasha and Mike’s Wedding

On November 1, 2008, I (Erin) coordinated Tasha and Michael’s wedding at the Davis Island Garden Club.  It was Great!  Their colors were black and red with some accent colors of white.  Tasha was as very organized bride and had hired Special Moments for our Unique Moment package which includes advice and etiquette along the way and then Special Moments over seeing the last 30 days before the wedding and helping with last minute details, timeline and also being in attendance for the rehearsal and coordinating day of the event from start to finish.Since Tasha was so organized it made my job very easy. It was like picking up where she left off.  The day before the wedding, during the run through, she handed off all the center pieces, place cards, seating chart, favors, etc. It  was great that she could finally let go and relax and be a bride!  The caterers were Affordable Caterering, Bartender was U Dream Events, Cake from Cakes Plus, Photographer was Jerry from A-B-See Connexions, and DJ JR Karaoke.

Even though it rained a little after the ceremony it cleared up with just enough time for outside pictures and then the dancing began.  They say rain on your wedding day is “Good Luck”.  Special Moments wishes Tasha and Michael the best of luck!
